Overview
At Visayas State University, we believe that students deserve the best service possible. This is why we worked hard to develop the myVSU student portal and the Cumulus platform for academic units.
This process of General Registration covers all continuing undergraduate students on the main campus. Enrollment for graduate students and those in other programs and campuses will be announced by their respective academic units.
Procedure
For AY 2019-2020 2nd Semester, all enrollment process will start online. However, accounts of students with deficiencies have been blocked from online enrollment. These students are required to clear and reset their accounts at the Registrar's Office before they can online enroll. See the full list on the link below.

For any myVSU Student Portal concerns, kindly file or open a new ticket through our online support desk at support.vsu.edu.ph. Please note that this requires a valid email address for us to respond to your requests.

For Regular Students
You are considered a regular student if:
- You are taking the subjects this semester according to your course prospectus; and
- You have no INC/failing grade in the prerequisite subjects of the ones you are about to take this semester.
This is how you enroll:
- Log on to your student account at https://my.vsu.edu.ph/ and go to the Online Enrollment tab.
- Choose your subjects from the list. Once done, click Submit.
- Print a copy of your Registration Form, which also contains the same list of subjects you submitted to your adviser online. Have this ready for his/her signature.
- At the same time, your academic adviser will review your subjects from the Cumulus Platform.
- If changes must be made, he/she will comment on the RF. You can add/change/remove subjects from your MyVSU student account or with the help of onsite/department encoders.
- If everything’s in order, he/she will sign your Permit and “lock” your enrollment. You can no longer make changes once this is done.
- Go to the enrollment venue (VSU Convention Center). Pay dorm fees, if applicable. The Registrar will print your Certificate of Registration.
- Before the Registrar validates your COR, you must:
- Have your academic adviser sign your COR;
- Submit your medical slip/certificate; and
- Pay your USSC Membership Fee.
- You are officially enrolled once the Registrar validates your COR.
For Irregular Students
You are considered an irregular student if:
- You are not taking subjects this semester according to your course prospectus; or
- You have failing grades or INCs in subjects from the previous semesters that are prerequisites of the ones you will be taking this semester.
This is how you enroll:
- Go to your Academic Adviser for him/her to assess your academic standing and suggest what subjects you will take this semester;
- Log on to your student account at https://my.vsu.edu.ph/ and go to the Online Enrollment tab.
- Choose all (regular) subjects that you are allowed to enroll from the list. Once done, click Submit.
- Print a copy of your Registration Form, which also contains the same list of subjects you submitted to your adviser online. Have this ready for his/her signature.
- Submit the RF to your Academic Adviser. At the same time, he/she will review your subjects from the Cumulus Platform.
- He/she will comment on the RF on what other subjects you may enroll. Go to the onsite/department encoder to make the necessary changes.
- Once everything is in order, your adviser will sign your Permit and “lock” your enrollment. You can no longer make changes once this is done.
- Go to the enrollment venue (VSU Convention Center). Pay dorm fees, if applicable. The Registrar will print your Certificate of Registration.
- Before the Registrar validates your COR, you must:
- Have your academic adviser sign your COR;
- Submit your medical slip/certificate; and
- Pay your USSC Membership Fee.
- You are officially enrolled once the Registrar validates your COR.
Department Focal Persons
If your Academic Adviser is not available during the General Registration, the Department Focal Person can review and sign your Registration Permit and COR on their behalf. Please ask your department who your focal person/s are.
The focal persons must be available to review registrations during office hours (8 AM to 5 PM).
Encoding at Departments
In departments with smaller student populations, the clerk is allowed to encode your subjects in Cumulus. This makes enrollment faster because you can enroll and consult with your adviser for any changes. We will publish the list of Departments which are allowed to encode the subjects to be enrolled.
Special Instructions
For BS Agriculture Students taking major subjects this semester:
- Coordinate with your department to re-assign you to your new academic/thesis adviser before you enroll, so you can avoid approval problems during enrollment. Then go to the Registrar to have your academic adviser updated in Cumulus.
For students whose thesis/case study/manuscript/OJT adviser is not the same person as their academic adviser:
- Your thesis/case study/manuscript/OJT adviser is now considered your academic adviser. Go to the Registrar to have your academic adviser updated in Cumulus.
For students whose academic adviser is on leave/no longer connected to VSU:
- Please contact your department for you to choose a new academic adviser. If you already have a thesis adviser, he/she is your academic adviser. Go to the Registrar to have your academic adviser updated in Cumulus.
Frequently Asked Questions
- How can I enroll online without going to VSU?
It is possible to enroll without going to VSU under certain circumstances. First, you should be a regular student taking regular subjects. Second, you must already be done with your medical exam. Third, you can arrange to have your Registration Permit and COR printed, signed, and validated by someone on campus.
- If it’s online, why do we need to print a Registration Form?
While the Academic Adviser can review, approve, and ‘lock’ your enrollment from Cumulus, the Registration Form allows the adviser to double-check your subjects and serves as documentary proof for the Registrar that the academic adviser has approved the subjects you need to encode for the semester.
- Why am I considered an irregular student if I have been taking all regular subjects until now?
The label “irregular” is only for the purposes of enrollment, and it does not necessarily reflect your academic standing. If you are about to take subjects that do not follow your course prospectus, the system will detect it. That’s why regular students taking subjects not following the course prospectus must go to the onsite or departmental encoders.
- I am a regular student, can I enroll onsite?
Yes. You can go through the onsite process with encoders.
- Can I still enroll online even if I’m considered an irregular student?
Yes and no. Technically, you can still log on and start the process of online enrollment. However, you can only pick subjects where you don’t have deficiencies. For INCs, failing and missing grades, and prerequisites, you will need the assistance of designated encoders. - Can I still enroll online if I have a failing grade or INC?
Yes, as long as these are not prerequisites of subjects you will take this semester, and you will be taking subjects as scheduled in your course prospectus.
- Can I enroll before my year level’s schedule?
No. The student portal will only enable online enrollment at 12 MN of your schedule.
- What if I start/continue enrolling at a later time?
Both regular and irregular students can enroll at a later time. However, students scheduled for a certain day (e.g., third-year students on July 24) will be prioritized in queueing onsite for encoding, payment, validation, etc.
- Can I just encode my subjects and complete the enrollment at a later time?
Yes. However, you are only temporarily enrolled in the subjects you encoded. When class slots run out, the system may kick you out in favor of those who completed their enrollment earlier.
- If I have INCs/missing grades, can I still take the ‘regular’ process?
Yes. Before enrollment, coordinate with your teacher to have your grades submitted. Accomplish the completion form and comply with your deficiencies if you have an INC mark. If you get all passing grades, you can now be considered a regular student for the registration process.
- Can I consult with my academic adviser online?
Yes, if they can accommodate you through email/IM/chat. Please follow proper “netiquette” in communicating with your academic adviser online.
- What if my academic adviser is unavailable? (on leave, retired, resigned, etc.)
Please arrange with your department to assign a new academic adviser to you before the enrollment period.
- Where are the encoders located?
There will be onsite encoders at the General Registration venue: The VSU Convention Center. Additionally, clerks in departments with small student populations are allowed to encode your subjects in Cumulus. This makes enrollment faster because you can enroll as you consult with your adviser. Please note, however, that department-based encoders cannot open/close subjects. Please go to the enrollment venue for these cases.
- Do I need to take a medical/physical exam first before enrolling online?
No. But you will need to submit a medical slip/certificate before the Registrar validates your Certificate of Registration. You may do the exam before or after you encode your subjects.
- I am preparing to shift to another course, can I enroll the subjects for my new course?
No. You have to complete the shifting process first before you will be allowed to enroll subjects for your new course.
